OPEN and CLOSE the Zoom meeting room
LET IN PARTICIPANTS from the waiting room, collaboratively with the chair.
On Wednesdays, make sure that “11 Garden Street” has been admitted.
MAKE today’s Chair and Security Patrol persons CO-HOST as soon as they arrive.
MUTE ALL participants at the start of the meeting
Turn on LIVE TRANSCRIPT function upon request
SHARE SCREEN for Moment-of-Silence page/graphic
SHARE SCREEN for the day’s literature and SCROLL the reading while people read.
On SUNDAY, type the sharing order for ROUND ROBIN sharing in the chat.
Make document View LARGE for easier participant reading
A busy curser can be distracting to participants, so be aware and keep curser still when possible
SHARE 7th tradition paragraph in the chat
Remove participants’ last names as needed during the meeting
MUTE unmuted participants when they are not speaking
SHARE MG website info and contact list paragraph in the chat near the end of the meeting
Keep the meeting room open for FELLOWSHIP after the meeting ends
CLOSE the MEETING
LOG OUT of Zoom
Before the meeting starts, it is best to find and open all the literature or graphic documents you will need to share at that day’s meeting. It may be helpful to have these each open as separate tabs or pages so they can be located and shared easily at the proper time during the meeting.
Discuss the security procedures with the Chair before the meeting starts.
Zoom will notify host and co-hosts that people are in the waiting room. You may either admit them individually or click the button, "Admit All."
Admitting people to the meeting is a responsibility now shared by the Chair and Host. The general practice should be:
Chair admits people during screen shares
Host admits people when they are not sharing
But both can pitch in as needed - communicating via chat to avoid misunderstandings.
If one is busy, distracted, or needs to step away for a moment they should notify the other to assist with safety procedures. Please review the safety procedures page to ensure you understand how to implement them.
Only the Host has the ability to turn on the Live Transcript function. It is located at the bottom of the Host’s screen (Live Transcript > Enable Auto-Transcription) This makes the CC option available to all participants but each participant can control if she sees the captions or not via the CC button at the bottom of her screen.
Paragraphs regarding the 7th tradition and the MG website & contact list info are located near the top of each day’s script document. Copy and paste the 7th tradition paragraph mid-meeting and poste the contact list and website info at 7:50.
LOG OUT of any personal or work Zoom accounts on all devices. This is very important for a smooth log-in to the MG Zoom account.
Go to www.zoom.us and click on Sign In in the upper right-hand corner. (click here for account info and instructions for sharing this document with new hosts and chairs.) To avoid log-in errors, cut and paste the account password into the Zoom sign-in page (rather than entering the password in by hand)
IMPORTANT: IF YOU ARE UNSUCCESSFUL logging into the MG Zoom account after 2-3 tries, contact another trained Host for help via the List of Hosts and Chairs.* Do not keep trying repeatedly. Zoom locks the account after 5 unsuccessful tries.
3. On the MG homepage, click CLICK THIS BUTTON TO JOIN MEETING.
Sunday Round Robin
On Sundays, sharing is in alphabetical order. Refer to the Round Robin spreadsheet to find out where the sharing left off the following week. Then, use the Zoom participants list to identify the next 4 people alphabetically. Type their names in the chat. As each person shares, post the next 4 people, and so on.
The Host stays after the meeting to keep the room open for fellowship. Length of fellowship is essentially up to the Host. If you cannot stay or need to leave, ask if someone in the room can stay and then make them Host before you leave. You still need to LOG OUT of Zoom.
